How to write an equipment rental business quote, with pricing examples
An equipment rental quote prices the machine, the day and the return, so the customer sees the whole bill before the machine leaves the yard.
What to take away
- Quote the equipment rental by the day, not by the job. A mini excavator billed at a day rate that runs into a second day is a margin problem the quote created.
- Every line needs a unit the customer can checkdays, hours, kilometers, liters, tons, or a flat fee.
- Fuel, delivery, damage waiver and cleaning are the four lines customers dispute most, so put them on the quote before the machine leaves.
- A recurring seasonal account is worth more than a one-off rental, and the quote should say what priority that account buys.
- Damage waiver, deposits and late returns are contract terms. Have a lawyer draft them for your province or state.
This article covers how to write an equipment rental quote in general terms. It is not legal, tax, insurance, safety or contract advice.
Rates, waivers, deposits and return duties vary by province, state and municipality. Confirm them with your own lawyer, accountant and insurer. Confirm machine limits with the manufacturer.
Price the rental day on a named machine
A rental quote has three clocks running at once: the day rate, the meter, and the clock on the return. Most disputes start when a quote names only one of them.
Which rate basis to quote
Day rate
- Best for
- Normal shift work
- Example machine
- Compact track loader
- Must state
- Weekly break point
- Travel time
- Not billed
Hourly rate
- Best for
- Metered tools
- Example machine
- Hydraulic breaker
- Must state
- Four-hour minimum
- Travel time
- Say if it counts
Seasonal rate
- Best for
- Recurring season need
- Example machine
- Fleet on term
- Must state
- Rate held for term
- Travel time
- Not billed
Day rate suits work where the machine runs a normal shift. United Rentals, Sunbelt Rentals and Herc Rentals all rent compact track loaders and mini excavators. Weekly and monthly rates usually discount the day rate, so state the break point on the quote. A customer who books four days should see what five days costs.
Hourly rates suit breakers, compactors and anything with a meter. Set a minimum, usually four hours, and say whether travel time counts. A Stanley hydraulic breaker on a Kubota KX040-4 is a common hourly line.
A contractor with a recurring need through construction season wants a seasonal rate held for the term. That is the row most yard owners leave off the table, and it is the row that wins the account. For where that demand sits by region, see best markets for an equipment rental business in 2027.
Typical rates for named machines as of 2026
Numbers below are labelled typical US market ranges as of 2026, not a quote. They cover the machine day rate only. Delivery, fuel, tax and waiver sit on top.
Typical rates for named machines
| Machine | Typical day rate | Typical week rate | What drives the range |
|---|---|---|---|
| Kubota KX040-4 mini excavator, 4.3 ton | $280 to $420 | $900 to $1,400 | Rubber tracks, thumb, breaker package, city surcharge |
| Bobcat T770 compact track loader | $350 to $520 | $1,100 to $1,700 | Track wear, bucket size, high-flow attachment |
| Caterpillar 259D3 compact track loader | $360 to $540 | $1,150 to $1,800 | Dealer network, emissions tier, attachment |
| Takeuchi TB230 mini excavator | $260 to $400 | $850 to $1,300 | Zero-tail swing, cab, market density |
| Deere 35G mini excavator | $270 to $410 | $880 to $1,350 | Dealer support, hydraulic thumb |
| Bobcat S650 skid steer | $300 to $450 | $950 to $1,500 | Wheel versus track, cab, age |
| Ditch Witch RT12 walk-behind trencher | $120 to $220 | $380 to $650 | Chain width, horsepower, ground conditions |
| Wacker Neuson BS60-4 rammer | $75 to $130 | $240 to $420 | Four-stroke engine, shoe width, minimum charge |
| Stanley MB05 hydraulic breaker | $90 to $160 | $300 to $520 | Carrier size, chisel type, minimum four hours |
Home Depot Rental lists walk-behind trenchers and compactors in many US stores. EquipmentShare offers compact equipment with telematics through its rental app. Your own meter reading, not a competitor's card, sets the final number.
Quote fields: machine, meter, fuel and return
- Customer and sitecontracting party, site address, site contact, billing contact, and who can authorize a change.
- Machine and attachmentmake, model, year, meter reading at handover, and every attachment by name.
- Rate basisday, week, month or hour, with the break points and the minimum charge stated.
- Included consumablesfuel at handover, grease, blades, bits, and what the customer replaces.
- Delivery and collectiondistance, fuel surcharge, after-hours drop, and who unloads.
- Damage waiver and depositthe percentage or flat fee, what it covers, and what it never covers.
- Return dutiescleaning standard, fuel level on return, missing attachment charges, and late-return rate.
- Taxes and feesGST or HST by province, state sales tax, and any carbon or air quality levy that applies.
- Authorization and expirywho signed, how, when the rate expires, and what rebooking costs.
Fuel is the line customers argue about most. State the level at handover and the level expected back, then price the shortfall per liter at your posted rate. A machine returned dry is a refueling trip, not a rounding error.

Sample quote: Bobcat T770 for eight days
A compact track loader goes out for five days at a day rate. The customer keeps it eight days and returns it with a bent bucket edge and half a tank. The figures below use the typical midpoints from the table above for a Bobcat T770 in a mid-size US metro.
Bobcat T770 eight-day quote
- $2,175first 5 days at day rate
- $6003 overage days at $200
- $119delivery and collection
- $3,106estimated total
Sample quote: Bobcat T770
| Line | Basis | Typical figure |
|---|---|---|
| Rental, first 5 days | 5 days at the day rate, midpoint $435 | $2,175 |
| Rental, overage 3 days | 3 days at the weekly overage rate, midpoint $1,400 divided by 7 = $200 per day | $600 |
| Delivery and collection | Round trip 40 km at $2.10 per km, plus $35 fuel surcharge | $119 |
| Damage waiver | 12 percent of the $2,775 rental subtotal | $333 |
| Fuel | 60 liters to refill to the handover level at $1.65 per liter | $99 |
| Deposit | Refundable hold, typical $500 | minus $500 |
| Damage excess | Bent bucket edge assessed at $280 above the waiver | $280 |
| Estimated total | $3,106 |
The arithmetic is yours to fill in:
Sample quote: Bobcat T770
- rental subtotal
- plus delivery
- plus waiver
- plus fuel
- less deposit
- plus any damage excess
Named variables beat a borrowed benchmark, because your rates are not another yard's rates.
Return duties and damage
The return is where the quote either holds or falls apart. Write down the cleaning standard, the fuel level, and the condition of every attachment at handover, with photos.
A machine returned with a missing bucket or a broken tooth is a parts order and a lost booking. Charge it at the posted rate, and put that rate on the quote so nobody is surprised. A replacement bucket tooth for a Bobcat T770 bucket typically runs $15 to $40, plus labor.
Damage waiver is not insurance. Say so on the quote. If you sell a waiver, have a lawyer confirm the wording and the exclusions for your province or state, and check with your insurer that the waiver does not conflict with your policy.
Deposits, late fees and damage charges are contract terms. They belong in a document a qualified lawyer has reviewed, not in a paragraph a counter clerk rewrites.
Records and advertising
Keep the signed quote, the handover inspection, the meter reading and the return photos. The IRS recordkeeping guidance sets out what a business record needs to show, and the same principle holds under CRA rules: income, expenses and the documents behind them.
If the quote advertises a rate, keep it truthful and supported. The FTC advertising guide covers claims and endorsements for US businesses, and provincial consumer protection law covers the Canadian equivalent.
For labor rates, the BLS occupational wage tables give occupation and area estimates you can use as one input. In Canada, check Job Bank and your provincial statistics before you set a rate.
Common questions
What rate basis should a rental quote use?
Match the basis to how the machine is used. Day rates suit full-shift work, hourly rates suit metered tools, and weekly or monthly rates suit long jobs. State the break points and the minimum charge so the customer can compare.
Who pays for fuel and cleaning?
The customer, if the quote says so and states the level and the standard. Put the handover fuel level, the expected return level, and the cleaning standard on the quote, then price the shortfall at your posted rate.
Is a damage waiver the same as insurance?
No. A waiver is a contract term that shifts some repair cost to the customer, and it excludes more than most customers expect. Have a lawyer draft it and confirm with your insurer that it does not conflict with your policy.
How do I quote a recurring seasonal account?
Set a rate held for the season, a priority booking window, and a minimum term. Name what the account gets that a one-off rental does not, such as first call on a machine returned damaged before the next booking.
